Welcome!

Students interested in taking an eAcademy course must first meet with their counselor, who will help determine whether an eAcademy course is appropriate or necessary. The counselor's permission code is required to enroll in eAcademy.

Students often sign up for eAcademy with little knowledge of time commitment, course structure, program requirements, and more. We have extensive information on this site about how our program works if students need to obtain a clearer understanding of the commitment they are accepting.

Changes for the 2026-2027 School Year

To maintain our high standards amid rising costs and budget constraints, eAcademy is updating our policies effective August 2026. Please review these changes to help plan your student's upcoming schedule.

Tuition

New Rate: $275 per course (effective Fall 2026).
Summer 2026: Fees remain at the current rate.
Support: We encourage families experiencing financial hardship or those who are eligible for Free/Reduced Lunch to reach out to their child’s counselor or principal to inquire about financial assistance.

Enrollment Changes

Eligibility: Students may now begin eAcademy courses the summer after completing 9th grade.
Deadlines: Enrollment now closes one week prior to the start of classes.

General Information

Course Load

During the school year, eAcademy courses are available to Olathe students enrolled in a full seven-period school schedule. Students are permitted to take one additional .50-credit eAcademy course in the fall and/or spring semester.
During the summer, students may, after working with their counselor, consider taking two .50-credit courses. However, the work load is very intense, and many students have not been successful. The summer session section has more information about course workload.

Course Drops and Fs

Course drops are restricted.

Students who wish to voluntarily drop a course must do so by the end of the 1st quarter (fall) or 3rd quarter (spring). After that date a grade will be recorded regardless of what the grade is or whether the student completes the course.
Summer students may drop a course at any time during the summer session. However, there is no fee refund after the first day of the summer session.
If students fail a school-year online course, they may either take the course in the regular classroom or online during the summer session. Additional school-year attempts are not allowed.
In alignment with current board policy (IDD), students who drop an eAcademy class will have either a W/P (withdraw/pass) or a W/F (withdraw/fail) placed on their transcript and no credit will be given for the class.
Counselors will work with instructors to process a course drop. Students considering a drop should contact their counselor for advising and assistance.

eAcademy Courses

Canvas Login and Course Access
eAcademy courses are located in Canvas. Use the ClassLink icon on your student computer to log in. Open ClassLink to access Canvas on a computer using Firefox or Chrome. Do not use any other browser; do not attempt to work on an iPad or phone.

You will not see courses in Canvas until the eAcademy teachers activate courses. When they are active, click into the course to see announcements from your instructor, the syllabus, due dates, and all your coursework. Remember, your course is not self-paced and there is a strict calendar of due dates that you must meet; be on time.

Textbooks
Texts in some courses are PDF, others are online, and some courses have no text. Your instructor will tell you how to get to your text if there is one.

Physical Education Student Details
(If you are not in PE you can skip this section.)

You will receive instructions for pickup of your Polar heart monitor. In the summer that will be at the Instructional Resource Center (14090 Black Bob Road). During the school year your monitor will be delivered to your high school. If you do not get a monitor you cannot participate in the PE course. You cannot use your own. Get your Polar monitor set up and synced according to the instructions that you are given.
Each physical education student and one of their parents must complete and sign the Required PE Safety Acknowledgment form prior to starting online physical education. This means complete the form twice — parents complete once and students complete it once.
Students are reminded that there are PE workouts to complete that will be uploaded into PolarFlow as well as PE text assignments in Canvas. Students taking Health will do those lessons in Edgenuity. It is critical that students attend to all components to earn their full credit.
Remember that all the startup information, help videos, and other Polar monitor documentation is in your Canvas course for reference throughout the semester if you need to review it again or lose your paper copies.

Health Student Details

Your coursework is in a program called Edgenuity. Your login will be emailed to you.
This communication will be sent to your school Google email account. Please remember this is the email account you will always use. Email messages do not appear in StudentVUE.

Grading
eAcademy follows the Olathe Public Schools secondary grading guidelines. All courses are graded using the standard scale: 100-90% = A; 89-80% = B; 79-70% = C; 69-60% = D; an F will be recorded for students who achieve below 60% or fail to complete their online course. School-year course drops must occur by the end of first quarter in the fall and third quarter in the spring. Summer courses may be dropped at any time but with no fee refund.

Courses use online gradebooks (not in StudentVue) and that is where students will find assignment and assessment grades as well as any grading feedback from their instructor.

Required Orientation for Students

All students taking online courses in Canvas are required to complete an orientation to virtual learning. This Orientation is built into the eAcademy course as a mini-course and will take less than 90 minutes to complete. If you previously completed the Orientation for another eAcademy course, you are required to do it again unless instructed otherwise. Since you have done it before, it will go quickly. Just speed-read through the information and take the quiz. Students who are taking more than one course, such as in summer, just complete the orientation one time.

The orientation includes an updated plagiarism policy that covers the use of Chat GPT or other similar artificial intelligence applications. Students should review that section carefully.

Note for Health students: You will not complete this orientation for Health. There is an eight-minute video in Edgenuity that you will watch the first time you log in. However, if you have Health AND another class you WILL complete this orientation for the other class.

- May 27, 8 a.m.-4:30 p.m. or
- May 28, 8 a.m.-6:30 p.m.
June 1: start date for Summer eAcademy
June 1: students begin eAcademy Orientation
June 1: last day to drop summer courses with a fee refund; no refunds after this date
July 24: Last day of summer session; all assignments and finals for all courses are due by or before today. Polar monitors are due immediately for all students.

Counseling and Guidance

Students are advised by their counselor at their high school of enrollment. eAcademy does not assist students with graduation audits or advise on course selection for schedules or meeting graduation requirements. eAcademy enrollment is by permission only and students must meet with their counselor to determine whether eAcademy enrollment is appropriate or necessary, and get their counselor's permission to enroll. Counselors are very busy at the start of each semester and students are advised to meet with their counselor well in advance of the semester's startup.

Summer Session

Summer Session Information

Our eight-week summer eAcademy session is open to students who have completed their freshman year. Students do not enroll in eAcademy the summer right after eighth grade. The summer eAcademy session is designed for advanced placement students or those in specialty programs who will experience scheduling conflicts in their four-year Individual Plan of Study (IPS).

Students will compact 18 weeks of work into an eight-week summer session, so the compressed rate of learning is rigorous. Students must be prepared to devote a minimum of 10 hours (usually more) per week per .50 credit course to meet course deadlines. More information about how courses work and time commitment is available in the Learn About Courses section.

Notifications

Summer fees will be billed weekly beginning May 1. See the section below for more information about summer fees.
Beginning the first week of May, students who are enrolled will receive a course confirmation email to their student Gmail accounts. Students should verify their courses and contact their counselor immediately if any changes are needed. This email will also include information regarding where and when PE students may pick up their heart rate monitors.
Course startup instructions will be sent to student Gmail accounts on the first day of the session (June 1).

Out-Of-District Summer Students

We allow summer student enrollment from local districts that have a cooperating agreement with Olathe. We do not anticipate having to limit course enrollment to only Olathe students, but should that happen because of an exceedingly large enrollment, out-of-district students would be notified and their registration payment returned.

Paying eAcademy Fees

There is no fee for eAcademy enrollment during the fall or spring semester. There is a fee for summer eAcademy. The summer course fee is $200 per .50 credit course, and $50 for the .50 credit Health course. Full refunds will be issued for drops UNTIL the first day of the summer session. After that day there are no fee refunds.

Beginning August 2026, students will incur a $275 fee per course, year-round.

The district's business department will begin posting summer course fees to student accounts weekly beginning May 1. Students who have registered with the district as qualifying for free/reduced fees will see half the summer course fee posted to their account. Payment can be made in installments or in full at the family's convenience.

The Olathe district uses the TouchBase system for fee payments. (Out of district students will receive instructions to call the business department.)

Parents must have a ParentVUE account to access Touchbase. If you do not currently have a ParentVue account, please contact your school for assistance.
First-time TouchBase users need their ParentVUE username and will need to create a TouchBase Password.
After logging in, select the student's name. Then select PayFines/Fees.

If you are paying for more than one family member, you can do a combined checkout. Start in Your Family and select each Student one at a time to add the fees due. Then complete checkout in one step.

Travel Absences and Account Access

Travel Absences

It is imperative that students notify the eAcademy office and their course instructor of any planned absences. Generally, we can accommodate short absences when students travel inside the United States. Multiple absences during the course term can be an issue, and the summer session compacts eighteen weeks of work into eight, so the pace is rigorous. Absences of more than a few days will make it very difficult to complete coursework on time. Students attending various summer camps should also consider the amount of time their coursework will be inaccessible, when making enrollment decisions.

International Course Access

Students planning international travel must coordinate with the eAcademy office and their school counselor prior to the start of the term. Access to district accounts from outside the United States is not guaranteed and is subject to a formal review process.

Eligibility & Requirements

Requests for international access will only be considered if they meet the following criteria:

Duration: Only stays of two weeks or longer will be considered for international access. For shorter trips, students are expected to work ahead and catch up upon their return without remote access.
Hardware: The student must possess their own smartphone capable of running the multi-factor authentication (MFA) app designated by the district.
Timing: Access cannot be granted once the student has already left the country. All setups must be completed before departure.

Request Process

To initiate a request for international access, students must follow these steps at least two weeks prior to the course start date:

Principal Approval: Students must first notify the eAcademy office, who will then direct them to their building Principal. The Principal must submit the formal request to the Technology Division, including up-to-date contact information for both the student and the parent/guardian.
Tech Setup: If the request is approved, the student (preferably accompanied by a parent/guardian) must visit the Technology Support Center in person. This visit is required to configure the MFA app and ensure the district-issued laptop is authenticated for travel.

Important Note: If a student is unable to meet the smartphone requirement or complete the in-person setup at the Technology Support Center, they will be unable to complete coursework while traveling outside of the United States.

PE Workouts

School-year online PE students complete 40 workouts, an average of three per week through the semester. Summer online PE students complete 30 workouts, an average of four per week, through the eight-week summer term. Students may be able to complete PE workouts while traveling, but should not expect to have time at summer camps or on some family vacations. Students with short absences might be able to accumulate workouts on their Polar monitor while traveling and then immediately upload them when returning. Students who complete multiple consecutive workouts might be able to bank enough workouts to take a few days off. We do not know your travel locations, accessibility, or schedule, so we cannot determine whether you will be able to meet deadlines. Enrollment decisions should be made with the advice of the counselor and parents.

Scheduling

If travel prevents you from accessing district websites or your accounts for a significant portion of your semester or summer session, you will be unable to complete coursework, and you should not enroll. See your counselor about adjusting your schedule and enrolling in eAcademy courses when you are not traveling.

Eligibility

Potential, or accepted, Four-Year Academy students

Olathe’s eAcademy program provides options for students to create scheduling flexibility by taking one or more high school courses online to free up space in their daily schedule. This creates opportunities to pursue elective courses such as four years of performing arts, international language, or other electives of interest, in addition to meeting OPS-required courses for graduation and Four-Year Academy course requirements for program endorsements. eAcademy offers a limited selection of online courses, taken at-home as an eighth hour during the school year (no fee), or during an eight-week summer term (summer fee). High school counselors and Four-Year Academy program advisors work with each incoming student to develop their four-year plan of study, which will help determine if it is necessary to consider taking eAcademy courses.

Here are our guidelines to review.

Students become eligible to participate in eAcademy courses starting the summer immediately following the completion of their freshmen year.
Students' first step is to create a four-year Individual Plan of Study (IPS) to identify and schedule required and elective courses, and determine if they might need to consider eAcademy course options. The student's high school counselor and Four-Year Academy advisor will help develop the IPS.
Enrollment is not self-elective. If it is determined that online courses are needed for scheduling flexibility, the student's high school counselor will advise on where they are best placed in the four-year schedule and then give permission and enrollment instructions at the appropriate time.

We recommend that you explore more here on the eAcademy website, where you will find answers to most all other questions regarding enrolling in and completing online courses. If you have any remaining questions, you can then contact your Four-Year Academy advisor, your high school counselor, or the eAcademy office for answers.

eAcademy Teaching Staff

eAcademy teaching staff generally teach full time in the Olathe Public Schools and accept an eAcademy instructional role as an after-contract assignment similar to an extracurricular position. Teachers are certified in their subject area and in many cases teach the same course face to face at their school. eAcademy staff receive specialized training in strategies and best practices for online instruction. Students have access to complete contact information within their courses.
